Create and Send Out Your Purchase Orders in Planyard

Creating and sending out purchase orders to your suppliers is as simple as using email. Just fill in the title, and the description, and select the items you would like to order. Your project budget will update automatically to show the created purchase order.

After creating the purchase order, you can easily send out the purchase order to the supplier via e-mail. They will receive a PDF of what was ordered together with the delivery address and any notes you entered.

If you have variations that were not originally ordered, then those can also be easily added to the purchase order at any time.

Approve Bills For Received Goods in Planyard

When you receive the goods from the supplier, then you just need to connect and fill in the quantities that are on the invoice. Since you also see how much has already been received and how much is remaining, it is impossible to approve more than ordered.

The form gives you direct feedback about the remaining amounts. As soon as they go over the ordered values, there will be a warning.

Approved purchase order bills are automatically sent to Xero

As soon as you approve a purchase order bill, it gets automatically sent to Xero. The quantities and price from Planyard will be sent to Xero together with the original invoice document.

The data can be sent to Xero already with the accounting accounts attached. This means that the accountant just has to review it and approve it for payment.
