Valuation waiting for review

Get notified when valuations require review

When a subcontractor submits a valuation you’ll receive a notification email. This means that you will never miss any valuations again.

You can also see the valuations that are waiting for approval in the Planyard construction software.

Valuations review

Quickly review and approve valuations

Planyard automatically compares valuations to estimated costs, previous valuations, and the contract. You can see all of this information on the same screen. Because of this, you don’t have to compare data on multiple systems anymore.

You will see a warning if an expense exceeds the contract, valuation, or set goal.

The only thing you have to do is check whether the actual work done by the subcontractor is also what’s in the report.

Valuations approval workflow

Double check valuations with stakeholders

Send valuations for an additional round of approval to site engineers, management, or accounting if needed. To do this, you can add your whole team to Planyard for free.

You will know exactly who approved the valuation and who is still on hold.

If you approved it, the subcontractor receives an email with a link to re-submit the valuation. They also receive a note of explanation for why it got rejected. After that, the subcontractor can resubmit their valuation with the fixes.

If you rejected it, the subcontractor will receive an email with a link to upload an invoice. After that, the subcontractor can upload the invoice which is automatically connected to the valuation.

Invoices that correspond to valuations are waiting for approval

Approve invoices and keep budget automatically updated

Open the subcontractor invoice with a single click and compare it with the original valuation in the same view.

Go through the whole valuations process with a couple of clicks, including submitting the valuation to approving the corresponding invoices.

You didn’t have to fill a single cell and everything gets automatically updated. This includes the budget, contract, variations, and valuations.

Line items associated with the valuation

Keep accounting automatically in sync

Planyard sends the approved invoices accounting automatically together with a document that shows the original valuation for a better context. Because of this, the accountant also gets the full picture right away.

These pre-approved invoices reduce the amount of manual work for accountants greatly.

“I wanted to escape the spreadsheets, escape the manual data entry, and look for ways to stay on top of the budget numbers. It’s challenging within a development company to keep on top of your numbers.

So I came across Planyard in a search to improve the budget management processes and, to make my own life easier.

Planyard does that, and it takes your project budget and puts it very clearly on screen for you so you have a live real-time picture of where your project budget is at any given point.”

“I have been working on cloud accounting tools like Xero and Quickbooks which are excellent, but they don’t have a specific construction-based costing tool.

Construction companies rely on expensive quantity surveyors and project managers to do a lot of data input on packages such as Excel which takes them away from focusing on value-added activities and driving the profit growth.

When I came across Planyard, I was relieved that there was finally a solution to this problem. Quotes, subcontract orders, purchase orders, invoices, progress bills, etc are put on the system and it’s linked directly to the budget, CVRs, subcontractors, and the suppliers. This is making people’s lives a lot easier. Data is at hand, it’s automated and it gets everyone away from the out-dated requirement to fill out spreadsheets.”

“I would say that Planyard is a great way to easily and conveniently track your job costs in one place. It keeps track of all of the documents and the numbers in one place.

If there’s some problem with the budget, it just tells you what you need to fix and you’ll be fine. It really just kind of thinks a step ahead for you.”

Still using Excel for budget management?
There’s a better way.

Spreadsheets are not the best way for managing job costs
  • It’s too easy to make mistakes;
  • You can’t see behind the numbers;
  • It’s hard to standardize and ensure compliance;
  • There’s no real-time overview of profitability forecasts;
  • It means duplicate work for PMs and accountants.
Planyard saves time and nerves

Follow your budget in real time and take immediate action when errors occur. Job costs are organized, and fully searchable and accessible for forecasting, project management and more.
